MeetKeeper is run by HewnGrowth LLC, a North Carolina limited liability company ("we"). This policy says what MeetKeeper collects, what it does with it, who else handles it, and what you can ask of us. To reach us, use the contact page.
What MeetKeeper collects
- Your account: your name, email address and a scrambled form of your password (we can't read it), your booking handle and time zone, and the groups, clients and settings you create.
- Recordings: when you connect a Plaud recorder, the transcripts, summaries, outlines and titles of your recordings, with their times. MeetKeeper doesn't take the audio.
- Calendars: when you connect a Google calendar or send calendars from the MeetKeeper app, your events: their titles, times, locations, notes, links, and the names and email addresses of the people invited.
- Contacts: the people MeetKeeper finds on your invites and in your recordings, and what you mark about them (personal, or tied to a group).
- Booking: when someone books time with you, the name, email address and note they give and the time they ask for. To stop abuse of the booking form, we keep a scrambled form of the network address it came from, for a day.
- Your AI assistants: when you connect one (such as Claude), a record of what it asked for and when.
- The usual technical things: a cookie that keeps you signed in, and server logs of requests, kept for a short time to run and secure the service.
What it's used for
To do what MeetKeeper does: match your recordings to their meetings, sort and file them into your groups, show them to the people in those groups as your group's settings allow, send them to the CRMs your groups connect, let people book time with you and put those meetings on your calendar, and send the emails the service needs (sign-in links, invitations, booking requests). We don't sell your information, and we don't use it for advertising.
AI sorting
To suggest where a recording belongs, parts of it (the opening and closing minutes, the recorder's summary, the meeting's details) are sent to an AI model through OpenRouter. We use only providers that keep nothing once they've answered and don't train on what they receive. The suggestions are suggestions: you, or an AI assistant you connect, decide. An AI assistant you connect sees only what you can see in MeetKeeper, and only with the access you approve when you connect it.
Personal recordings
Recordings you mark personal, and calls only with people you mark personal, stay out of your groups and are never sent to a CRM. Anything already sent is withdrawn.
Who else handles it
Companies that run parts of the service for us, each only for that purpose: Vercel (hosting), Neon (the database), Cloudflare (email and the domain), and OpenRouter and the AI providers it routes to (sorting, as above). Google and Plaud, when you connect them, under your accounts with them. Inside MeetKeeper, the people in your groups see what's filed into those groups, as each group's settings allow. Beyond that, we share information only when the law requires it, to protect people's safety or the service, or as part of a sale or merger of the business, which would stay bound by this policy.
Information from Google
MeetKeeper's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular: MeetKeeper reads your Google calendars only to match recordings to meetings, file them, and work out when you're free to be booked; it adds, changes or removes events only for bookings, and only once you've allowed it; it doesn't use Google data for advertising, doesn't sell it, and doesn't use it to train AI models; and no person reads it unless you ask us to, it's needed for security or to comply with the law, or it's made anonymous and combined for running the service.
How long it's kept
As long as your account is open. Disconnecting Plaud or Google stops anything new from coming in. You can ask us to delete your account and everything in it through the contact page; it's gone within 30 days, including from backups. One thing works differently by design: when you leave a group, or your account is closed, the group keeps a copy of what you filed into it, because it's that group's record too. A group's admins can remove it.
Security
Everything travels encrypted. Passwords are stored only in scrambled form; the keys MeetKeeper holds for Plaud and Google are encrypted; the keys apps and partner sites use are stored only as fingerprints. No system is perfectly secure, and if something goes wrong that affects your information, we'll tell you.
If someone booked time through MeetKeeper
What you entered goes to the person you booked and onto their calendar, and the invitation comes from their calendar. For anything about your booking, reply to them; for anything about what MeetKeeper holds, use the contact page.
What you can ask of us
To see the information we hold about you, correct it, get a copy, or delete it. Depending on where you live, you may have more rights under your state's or country's law; we'll honor them. Use the contact page and choose "Privacy".
Children
MeetKeeper is for work and isn't meant for anyone under 16.
Changes
If we change this policy, the date above changes, and if the change matters, we'll tell account holders by email first.
